Secretary

BASIC FUNCTION:           

Under the supervision of the Senior Vice President of Adult and Day Services, performs all office duties necessary to promote efficient, accurate communication, documentation, and correspondence with the agency and the community and ensures that all group home clerical needs are met.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Reliable, prompt attendance. Notifies supervisor of any requests for changes in schedule.
  2. Manages all group home office phone communication and promptly and accurately disseminates messages.
  3. Handles all typed correspondence, minutes, personal plans, semi-annuals, and other requests from the Sr.VP, Administrators, consultants, RSCs, QIDPs, nurses, assists other Milestone departments as requested and provides copies of necessary materials.
  4. Assists in preparation for survey(s). BALC, BQM, IDPH, Waiver Compliance review's etc.
  5. Maintains master files of individuals served in accurate and orderly fashion with assistance from the Social Services Department.
  6. Distributes inter and intra departmental mail.
  7. Maintains all office equipment including phone lines, computer, copier/fax, and postage meters in good working condition and reports problems to the appropriate personnel.
  8. Completes agency wide scheduling for consulting psychiatrist ensuring regulatory compliance is being met.
  9. Sends any and all correspondence in a timely fashion to vendors and guardians.
  10. Types and disseminates memos, job postings etc.
  11. Updates the Group Home Professional Staff Responsibility listing and distributes accordingly.
  12. Receives contract packet from Social Services, copies and disseminates as necessary.
  13. Receives copies and disseminates personal plans as directed.
  14. Prepares sign in sheets for all psychiatric consultations.
  15. Fills requests for address labels for all group homes.
  16. Copies and disseminates Human Rights investigations. Tracks OIG case numbers on an ongoing basis.
  17. Fulfills requests for information from all vendors and disseminates appropriately.

OTHER DUTIES AND RESPONSIBILITIES:

  1. Provides necessary filing of personnel data including all staff applications, evaluations, employee conferences, etc. as requested.
  2. Adds updates or changes to the Policy/Procedure and Coded Forms book(s) as necessary.
  3. Attends professional staff meeting(s), takes minutes and disseminates such upon completion and approval.
  4. Disseminates monthly trust reports.
  5. Other duties as assigned.

QUALIFICATIONS:

  1. High School diploma
  2. Types 60+ words per minute with accuracy.
  3. Computer experience including excel and word
  4. Filing and Dictaphone experience.

Full-time Monday-Friday, 8:00am 4:30pm, (hours may vary)
